We are seeking a dependable, organized, and patient-focused Front Desk Patient Services Representative to join our busy chiropractic healthcare team. This position plays an important role in creating a positive patient experience while keeping the clinic schedule, patient accounts, and day-to-day front office operations running smoothly.
This is a fast-paced position that requires someone who can comfortably manage multiple priorities, communicate professionally with patients and providers, and maintain accuracy even during busy clinic hours.
Primary Responsibilities
Patient Experience

→Greet and check patients in and provide a welcoming, professional experience.

→Answer incoming phone calls and complete necessary callbacks.
Schedule & Patient Flow

→Schedule, reschedule, and cancel patient appointments.

→Schedule future appointments according to prescribed treatment plans.

→Monitor scheduling requests received through phone, voicemail, email, and TrackStat/text messaging.

→Follow up with patients who miss appointments.
-
→Room patients and assist with maintaining efficient patient flow throughout the clinic.
Financial & Account Accuracy

→Scan and maintain patient insurance cards, photo identification, and other required documentation.

→Obtain required patient signatures, including financial policies, HIPAA forms, Right to Refuse forms, NCS forms, and other clinic paperwork.

→Explain insurance benefits and patient financial responsibility within established clinic guidelines.

→Collect copays, coinsurance, balances, and other patient payments.

→Send payment links for missed appointments and late cancellations and document them accurately in the patient's ledger.

→Assist with maintaining accurate patient demographic and account information.

→Update information such as fee schedules, primary provider/appointment provider, and parent information on minor patient accounts.

→Count and reconcile front desk cash and notify clinic leadership when a cash drop is needed.
Front Desk Ownership

→Takes ownership of tasks rather than waiting to be reminded.

→Identify scheduling gaps, patient-flow concerns, or delays and communicate them appropriately.

→Monitor the front desk for missed steps or recurring workflow issues and help maintain consistent check-in, payment, scheduling, and communication standards.

→Maintain adequate copies of commonly used patient forms.

→Handle incoming faxes and route information appropriately.

→Assist with opening and closing front-office responsibilities as assigned.

→Participate in front-office workflow improvements and clinic meetings.

→Work collaboratively with other front desk and administrative team members and provide coverage where appropriate.

This Role May Not Be a Fit If…
You prefer a slow-paced front desk, need frequent reminders to complete recurring responsibilities, are uncomfortable discussing money with patients, struggle when priorities shift throughout the day, or prefer to wait for direction rather than taking initiative within established procedures.
Preferred Qualifications

→Previous medical, chiropractic, dental, physical therapy, or other healthcare front-office experience.

→Experience with patient scheduling and electronic health record/practice-management software.

→Familiarity with health insurance terminology, copays, deductibles, coinsurance, and patient benefits.

→Experience handling payments and balancing cash.
-
→Strong computer and data-entry skills.
-
→Chirotouch experience a plus.
Healthcare experience is preferred, but the ability to learn quickly, communicate well, remain organized, and take ownership of responsibilities is equally important.
Schedule
Approximately 35–37 hours per week, Monday through Friday, with availability during scheduled clinic hours required.

About the Position
This is not a traditional receptionist position where the primary responsibility is answering phones. Our front desk team is actively involved in patient scheduling, maintaining accurate patient information, collecting payments, supporting patient flow, communicating with providers, and helping ensure patients receive a consistent experience throughout their care.
